Associate Administrative Program Specialist

POSITION SUMMARY

This position supervises the activities of the Audience Services (AS) Department for WPR and WPT.  This position is a working manager, at times responsible him/herself for hands-on response to audience and member concerns.  Responsible for maintaining a high standard of customer service, advocating for the necessary departmental support and information, and reporting issues and trends to station management. Reports To: Membership Directors of Wisconsin Public Radio and Wisconsin Public Television.

 

SPECIFIC DUTIES & RESPONSIBILITIES

  1. Manage a team of 3 full-time employees, 2 part-time employees and other Limited-Term Employees. 
  2. Responsible for all supervisory duties, including providing timely work performance feedback, training, coaching, creating work plans, and providing an annual written performance evaluations with goals tied to strategic plans. 
  3. Encourage and facilitate AS staff development to include committee participation and trainings.
  4. Develop and manage department coverage.  Work with colleagues to solicit coverage assistance as necessary.
  5. Develop/maintain customer service and organizational policies and standards for department. 
  6. Provide support to AS staff in difficult interactions; intervene as necessary.
  7. Maintain and implement systems to sustain and improve departmental performance, including interaction databases and phone system.
  8. Oversee front desk administrative activities, including the distribution of keys and ordering supplies for staff.
  9. Oversee WPT and WPR store sales and order entries handled through AS.
  10. Create and manage an annual budget including revenue and expenditures.
  11. Assist with production of on-air television and radio fund-raising pledge drives and activities.
  12. In coordination with WPR and WPT Membership Departments, develop and maintain effective methods for fundraising and member service within the scope of AS activities.
  13. Collaborate with WPT Membership Manager on WPT membership activities that funnel through AS.
  14. Responsible and accountable for undertaking all supervisory duties including providing timely work performance feedback, addressing issues as they arise, coaching, creating work plans, and  providing a formal written performance evaluation annually. 
  15. Responsible for articulating and creating goals each year for staff members/direct reports that are tied to the WPR/WPT strategic and/or operational plan.
  16. Encourage and support an inclusive, diverse working climate by promoting engagement with diverse perspectives and experiences in work product and organizational decision-making, including hiring.  Promote professional development for self and staff members on conflict resolution, intercultural communication, dialogue and deliberation, and multicultural awareness.

MINIMUM QUALIFICATIONS

  • Bachelor's degree from an accredited college or university.
  • Minimum of 3 years experience in a customer service setting.
  • Experience managing complex projects involving multiple departments or priorities
  • Demonstrated ability to work and problem solve quickly and independently.
  • Excellent communication skills, orally and in writing
  • Ability to quickly learn new software and technology
  • Success in encouraging and supporting an inclusive and diverse working climate.

 

DESIRABLE QUALIFICATIONS

  • Previous public broadcasting experience
  • Previous management of a call center or customer service center
  • 2 or more years of management experience

SALARY: The minimum salary for this position is $41,336 with actual pay depending on qualifications and experience. UW-Extension offers a comprehensive fringe benefits package, including health insurance, sick leave and vacation.
