Pro-actively provide scheduling, coordination, fiscal, event, project and professional administrative support under the direct supervision of WUCF Executive Director. Advise and assist the Executive Director in the development, evaluation, and implementation of department goals and objectives. Independently manage research, fiscal, and event-based projects with competing deadlines and priorities. Serve as principal point of contact with external and internal constituencies. Exercise independent judgment in making decisions that may involve sensitive or controversial issues. Handle information in confidential, professional and discreet manner. Serve as station representative with external constituencies, presenting information to community organizations to further the community service mission of WUCF. Display a high level of discretion, maturity, diplomacy, and judgment in responding to or anticipating issues that may arise.
Coordinate the Executive Director's daily schedule. Attend meetings on behalf of the Executive Director; initialize, finalize, and distribute meeting agendas and supporting documentation. Take notes and complete summaries of meeting discussion on behalf of the Executive Director, including tasks discussed, assignment of accountability, and next steps for review and distribution by Executive Director. Coordinate the routine follow-up with Senior Leadership Team and insure projects are on deadline.
Serve as fiscal assistant to Executive Director, responsible for managing Executive Director's budget, travel, purchasing, and act as budgetary liaison with WUCF Director of Finance. Co-approve travel-related items related to Purchasing Card transactions and process purchase requisitions for travel-related expenses for the Executive Director. Coordinate and schedule travel arrangements for local, regional and national meetings. Follow-up with deadlines, provide supporting materials, documents, files, take meeting minutes and follow up with appropriate reports and deliverables. Create comprehensive Travel Briefs with high level of detail for Executive Director for frequent local, regional and national travel.
Coordinate the Executive Director's organization-wide initiatives for budgeting, personnel, staff development, and other projects as assigned.
Coordinate enterprise-wide information and communications as directed by the Executive Director. Maintain station-wide public calendar for staff planning and communications purposes. Actively seek out information on a regular basis from Senior Leadership team members to make sure calendar and other communications are comprehensive and current at all times.
Assist Executive Director with projects. Independently prepare or edit speeches, presentations, and talking points on a wide variety of topics and for a variety of constituents. Work occasional nights and weekends at events, sometimes representing the Executive Director at meetings and speaking engagements. Excellent writing, presentation development, and basic graphic design skills are critical. Creativity and accuracy in professional communications for public dissemination is critical. Use Photoshop, InDesign applications to create flyers and professional presentations.
Minimum Qualifications: Bachelor’s or Master’s degree and 2+ years of relevant experience.
Ability to manage sensitive data collection in regard to viewership, donor information, and WUCF relationships with individuals and corporations. Discretion and maturity in handling confidential information required.
Diplomacy, tact, confidentiality and people skills required.
Hearing, sight, speech, and hand/finger dexterity capabilities are necessary.
Possess the ability to manage multiple projects and deadlines and to break complicated tasks into concrete plans of action.
Annual Salary: Negotiable
