American Public Media Group (APMG) is the parent organization for American Public MediaMinnesota Public Radio, and Southern California Public Radio.

Your Role:

APMG is hiring a Sr. Administrative Assistant, Legal or Executive Assistant, Legal. This is a key member of the American Public Media Group (APMG)'s Legal and Business Affairs team, supporting the department's work for APMG, MPR, and Southern California Public Radio at the company's headquarters in St. Paul, Minnesota. This position reports directly to the SVP & General Counsel position and provides administrative and research support to the Legal and Business Affairs department in the area of contract and digital rights management, intellectual property management, board governance and relations, and state/federal filings.  The Sr. Administrative Assistant, Legal or Executive Assistant, Legal is the key point of contact for APMG-wide departments.

This position requires an advanced level of administrative support, a high degree of confidentiality, exceptional critical thinking and problem-solving, superior communication skills and an ability to function efficiently, effectively and independently in a fast-paced professional environment.

Position Responsibility Sr. Administrative Assistant, Legal:

Supporting the General Counsel's Office

  • Ensure the General Counsel and members of the Legal and Business Affairs team are informed of any issues, internal or external, requiring their attention.
  • Assist the department in managing their work schedules and multiple commitments.
  • Anticipate the needs of the General Counsel and other members of the Legal and Business Affairs team and proactively bring together the appropriate people, resources and timing needed to support decision-making.
  • Manage meeting scheduling including prioritizing requests, providing necessary logistical and organizational support and managing deadlines with keen attention to time sensitivity.
  • Develop and maintain a reminder system to track deadlines for events and activities.
  • Draft general correspondence and various communications (letters, emails, etc.) on behalf of the General Counsel, and assist the General Counsel in managing electronic messaging and work flow.
  • Screen phone calls.
  • Maintain FCC Public Files and online materials required for compliance with the Corporation of Public Broadcasting's Community Service Grants.
  • Draft and file all documents required for FCC compliance for stations, translators, auxiliaries: renewals, annual/biennial reports, notifications and other filings.
  • Draft and file all documents required by the FCC for station renewals, CPs and other translator-related filings.
  • Maintain tower site lease agreements and other real property agreements.
  • Oversee digital rights management system and databases for archival materials.
  • Maintain records, reports and documents for state and federal compliance purposes.
  • Prepare basic contracts under direction of in-house counsel.
  • Manage document retention program.
  • Process legal invoices.
  • Manage expense and time reporting and approvals.
  • Occasional travel arrangements.
  • Other duties as assigned. 

Supporting the APMG and MPR Boards and Board Committees 

  • Serve as the General Counsel's primary liaison to the board of the trustees, including the Governance Committee and Public Affairs and Government Relations Committee and manage coordination of board and committee meetings: drafting, organizing, assembling and distributing meeting materials, ordering food/securing location/room-set up to accommodate attendees' needs. 
  • Support in handling requests and answer questions (e., securing tickets for shows and events, BoardEffect (portal) maintenance and instruction and other tasks as needed). 

Position Responsibility Executive Assistant, Legal

In addition to the position responsibility for Sr. Administrative Assistant duties listed above, the following duties: 

  • Represent the office of general council as the main interface with APMG boards of trustees. Draft consent motions and other board documents, disseminate to full board, track vote, draft affidavit for General Counsel's signature.
  • Complete FCC filings.
  • Prepare applicable 501C3 corporate entities state registrations for DBA and fundraising in different states.
  • Under the supervision of an attorney, contract negotiation and drafting.
  • Trademark and copywrite research.
  • Lead internal investigations into allegations of potential intellectual property misuse.
  • Investigate 3rd party misuse of APMG intellectual property.
  • Assist, research and project manage corporate compliance issues. 

Required Education and Experience for Sr. Administrative Assistant: 

  • Bachelor's degree or equivalent work experience.
  • 5+ years of administrative support experience or equivalent, of which 3+ years support top executive level positions. 

Required Skills, Knowledge and Abilities for Sr. Administrative Assistant, Legal: 

  • Strong organizational skills.
  • Strong interpersonal skills.
  • Ability to multi-task and manage a high-volume workload efficiently while balancing competing priorities.
  • Ability to work well in a fast-paced environment.
  • Excellent written and verbal communication skills.
  • Proficiency in Outlook Calendar, Contacts.
  • Proficiency in Word, PowerPoint and Excel. 

Required Education and Experience for Executive Assistant, Legal:

  • Bachelor's degree or equivalent work experience. 
  • 5+ years of administrative support experience or equivalent, of which 3+ years support law office or attorney.
  • Paralegal certification (current or inactive, must renew within first 6 months).
  • Experience working with C-Suite and boards.
